Administration & Scheduling Assistant

The Administration and Scheduling Assistant will work as part of Castle Water’s busy and growing Field Team, scheduling work (including meter reads and investigative visits) and providing office-based support to the team. You will be committed to supporting the team to deliver against business objectives, to work efficiently in the field and provide a high-quality service both to customers and in communication with other parts of the business. The Administration and Scheduling Assistant will support the Field Operations Manager with administrative and reporting tasks.

This is a hybrid based role which will require a minimum of 3 days in our London office in Brentford, TW8 9DW.

What you'll be doing

  • Fully understand the Key Performance Indicators in your area, and take responsibility for their delivery
  • Allocate, schedule and co-ordinate monthly and bi-annual meter reads to agents across the Thames Valley area
  • Qualification, upload and distribution of schedules to include Planned BAU, ad hoc site visits requests, Collections and Project work to field operatives
  • Support team in prioritisation of visits in line with business needs
  • Work proactively with customers and field operatives to manage any security clearance requirements to ensure access to customer sites
  • Report issues and incidents in line with company procedure, and support team members with administration associated with reporting and equipment
  • Follow correct escalation routes in cases of potential health and safety risks
  • Monitor PPE equipment issued and manage replacement orders where necessary
  • Monitor weekly fleet checks to ensure completion and submission to Fleet Co-ordinator
  • Collect information relating to fleet incidents and ensure that information is correct prior to onward communication
  • Provide assistance in the production of internal reporting to aid management in monitoring and improving performance
  • Report on allocation and completion of field work, and on visit outcomes
  • Quality assurance checks across workstreams
  • Supporting Field Operations and H&S Manager with ad hoc administrative duties
  • Liaise directly with non-household customers to book appointments in advance to allow activity forward planning and reporting
  • Deliver an excellent and professional customer service experience

What you'll bring to the role

  • Experience in scheduling and dispatching daily jobs to maximise productivity and reduce downtime
  • Experience in fleet coordinating, logistics-related or material management operations desirable
  • Have a good geographical knowledge of the Thames Valley region
  • To be tech-ready with strong IT skills, a fast learner and willing to adapt and develop
  • Resilience and the ability to stay calm under pressure
